# How to design the attendee journey

> Shape what guests experience — free or paid, instant or approved, open or invite-only, ticket or RSVP — using your backend settings.

**In short:** The journey your guests experience is the sum of your backend settings. This guide maps each setting to what it changes for the guest, then gives a few ready-made journeys you can copy. For the guest's-eye view of the flow, see [The guest booking journey](/regplus/guest-booking-journey.md).

## Settings that shape the journey

| Setting (in the backend) | What it changes for the guest | Where to set it |
| - | - | - |
| **Ticket price (free or paid)** | A paid tier adds a payment step; a free tier confirms straight away. | [Ticket types](/regplus/how-to-ticket-types.md) |
| **One tier or several** | Guests choose between the tiers you show under *Select your tiers*. | [Ticket types](/regplus/how-to-ticket-types.md) |
| **Registration form fields** | The questions each attendee fills in when booking. | [Registration form](/regplus/how-to-registration-form.md) |
| **Quantity & capacity limits** | How many tickets one guest can book, and when a tier shows as sold out. | [Approvals & limits](/regplus/approvals-limits.md) |
| **Approval required** | The booking is confirmed instantly, or held as *pending* until you approve it. | [Approvals & limits](/regplus/approvals-limits.md) |
| **Invite-only / private tier** | The tier is hidden from the public page and reached only by invite link or code. | [Invite-only events](/regplus/how-to-invite-only-event.md) |
| **RSVP mode** | Guests reply yes/no instead of booking a ticket. | [RSVP events](/regplus/how-to-rsvp-events.md) |
| **Slots or seating** | Guests pick a time slot or a seat as part of booking. | [Slots & seating](/regplus/how-to-slots-seating.md) |
| **Discount codes** | Guests enter a code at checkout for money off. | [Discount codes](/regplus/how-to-create-discounts.md) |
| **Confirmations & tickets** | What the guest receives after booking — email, WhatsApp and the QR badge. | [Emails & WhatsApp](/regplus/how-to-emails-whatsapp.md), [Badges](/regplus/how-to-badges.md) |

## Build the journey step by step

**1. Decide ticket or RSVP**

For a simple yes/no headcount, use **RSVP**. For anything with tiers, capacity or payment, use **ticket types**.

**2. Set your tiers and prices**

Add one tier or several, each free or paid. This decides whether guests see a payment step.

**3. Ask only what you need**

Keep the registration form short — every extra field is one more thing each guest fills in.

**4. Choose instant or approved**

Turn on approval if you want to vet guests before confirming; leave it off for instant booking.

**5. Decide who can see it**

Public on your event page, or invite-only via a link or code.

**6. Finish the confirmation**

Set the email and WhatsApp messages and the badge your guests receive.

## Common journeys to copy

> **Free RSVP (quick headcount)**
>
> Use **RSVP mode**, keep the form to name, email and phone, and leave approval off. Guests reply in a couple of taps and get a confirmation — no payment, no tickets. See [RSVP events](/regplus/how-to-rsvp-events.md).

> **Paid, multi-tier ticketed event**
>
> Add several **paid** tiers, turn on a payment gateway, and (optionally) add discount codes. Guests pick a tier, fill the form, pay, and get a QR ticket. See [Ticket types](/regplus/how-to-ticket-types.md) and [Configure payments](/regplus/how-to-configure-payments.md).

> **Invite-only / VIP**
>
> Make the tier **private** and share its invite link or code only with the people you want. It stays off the public page. See [Invite-only events](/regplus/how-to-invite-only-event.md).

> **Apply-then-approve**
>
> Turn on **approval required** so bookings arrive as *pending*. Review each one and approve or decline; guests are confirmed only once you approve. See [Approvals & limits](/regplus/approvals-limits.md).

> **Timed slots or seat selection**
>
> Turn on **slots or seating** so guests pick a time or a seat while booking — good for tours, workshops or seated venues. See [Slots & seating](/regplus/how-to-slots-seating.md).

> [!TIP]
>
> Before you share your link, open your own event page and book a test ticket yourself — it's the fastest way to see the exact journey your guests will get.
